LegalMaps/LegalKaizen (https://legalmaps.ai and https://legalkaizen.com) are committed to protecting the privacy and security of the information entrusted to us by our customers and users, consistent with our policies designed to adhere to international standards (ISO/IEC 27001) and all applicable laws and regulations, including the Japanese Act on the Protection of Personal Information(Act No. 57 of 2003 and Act No. 37 of 2021)  and its English translation

This policy specifically addresses the handling of customer information (including email addresses). Such information constitutes personally identifiable information and is treated as sensitive information and classified internally as Confidential (Class 3) at a minimum.

In compliance with requirements for notifying individuals when their personal information is acquired, we provide the following mandatory information:

① Purpose of Use

We collect and use customer email addresses exclusively for legitimate and appropriate business reasons. Specifically, email addresses are used for:

  • Official LegalMaps/LegalKaizen business communications.
  • Contacting customers and fulfilling contractual or service obligations.
  • Responding to inquiries, managing user accounts, and providing technical support.

② The entity responsible for handling your personal information is LegalKaizen, operating under LegalMaps/LegalKaizen Policy. See also, Our Information Security Policy.

③ Procedures for Responding to Requests for Notification of the Purpose of Use or Disclosure of Retained Personal Data – Requests from individuals concerning their retained personal data (including confirmation of purpose of use or disclosure) are handled by LegalMaps/LegalKaizen. All requests must be submitted in writing to the contact point specified in Section 5. Upon receipt, reasonable steps will be taken to verify the identity and authority of the requesting party. Access or disclosure must be documented, and only information authorized by management for release will be provided.

④ Measures Taken to Ensure the Secure Management of Retained Personal Data – We protect information, including email addresses, by preserving Confidentiality, Integrity, and Availability. Security measures are governed by Our Information Security Policy.

⑤ Contact Point for Complaints Regarding the Handling of Retained Personal Data – For reporting security events, suspected violations, or complaints regarding the handling of retained personal data, please contact the LegalMaps/LegalKaizen at admin@legalkaizen.com.

All known or suspected security vulnerabilities, weaknesses, or violations, including unauthorized disclosure of sensitive information, must be reported in an expeditious and confidential manner. We will track the resolution of incidents and conduct follow-up to implement remedies to prevent recurrence.
